How we manage participant information

The User Experience (UX) team at the University of Arizona Libraries ("we", "us") manages the UX participant pool ("the pool") which includes a list of contacts. You can voluntarily sign up if you are affiliated with the University of Arizona. Upon signup, we ask you to provide your name, email address, and affiliation.

Purpose of collecting your information

We only use your information for the purpose of improving websites and services at the University of Arizona. After signing up, you will occasionally receive invites to join user experience studies, such as surveys, user interviews, and usability testing, through email. We promise that we will not send spam.

How we store your information

We use Trellis CRM to store and manage our list of participants. We also use the platform to draft and send out invitations to studies to all or part of the participants. 

After you agree to participate in a study, we may use other software to conduct the research and we can provide the privacy policy of the software upon request. We may record or share the results of a research session and will only do so with your consent.

How we access your information

We keep your information confidential. Only members of the User Experience (UX) team at the University of Arizona Libraries have access to the list of contacts.

We occasionally receive requests from researchers in a different University of Arizona department to recruit participants from the pool. If you agree to participate in such studies, we may share your individual contact information with the researcher. They will then work with you to arrange the research, which may involve using other software. We will inform them of their responsibility for keeping your information confidential.

How you can request to remove your information

We aim to keep your information only while you are affiliated with the University of Arizona. Once you leave or graduate from the University of Arizona, you can opt out from the pool anytime by clicking the unsubscribe link in the emails you receive from us. By doing so, you will no longer receive our emails, and we will remove your information from the email platform.
